Thank you for choosing to exhibit at in-cosmetics Global. We understand preparing for an exhibition can be daunting, whether you’ve been an exhibitor before, or it’s your first time. We’ve created this page, with lots of information to support you in the run up to the exhibition. It contains some key marketing information, venue information, dates and deadlines. Use the quick links below to find the information you are looking for.

Download your Exhibitor Welcome Pack

Preparing for a show can be quite a task, so we have curated an Exhibitor Welcome Pack including all the need-to-know details and important information for you to follow to ensure you make the most of the event.

Exhibitor portal

Your exhibitor portal account is where you control what visitors can see about your company and products. It’s where you upload information about you that will be visible in the online exhibitor and product directory, as well as your company listing in the Official Show Catalogue.

Your portal account also contains and exhibitor dashboard. You can use this to view analytics about your online performance. There are upgrade options available. If you’re interested in gaining more analytics and benchmarking yourself against other exhibitors, contact your local representative to find out more.

In 2023, you will also be able to register your stand personnel to get badges for the event and request visa letters. It’s really important to do this in advance of the event, in order to gain access to the halls.

Key dates for your portal account

ASAP – populate your profile with information about your company and products, so visitors browsing the website can find out more about your company

11 Jan 23 – Add sharers to your stand. If sharers aren’t added by this date, they won’t have their company listed in the Official Event Preview

9 Feb 23 – Show catalogue. If you do not populate your profile with information about your company by this date, it won’t be included in the Official Show Catalogue

24 Mar 23 – Stand personnel. You must register all your stand personnel before the event and print off all badges to gain access to the halls.

Please bring along your printed badge, and here you can collect your badge sleeve and lanyard.

We strongly recommend ensuring you have your badge, sleeve and lanyard before 28 March.

Awards & After Party

At in-cosmetics Global, we love celebrating the innovative products our exhibitors bring to the event. We have a number or awards categories you can enter and we’ll be announcing the winners at our After Party taking place on 28 March 2023, 18:00 at the East Entrance.

The Innovation Zone, Green Ingredient and Rising Star Awards are judged before the event, Sensory & Make-Up Bar awards are just at the event on the first day of the show

Preview/Catalogue/Pocket Guide

The Official Event literature is produced by Showtime Media. They produce our Event Preview, Catalogue and Pocket Guide. All literature is printed, so it’s imperative that the information required it sent by the deadline date, otherwise we cannot include it.

Here are the key dates

  • Bring your printed PDF exhibitor badge to the registration area to collect your lanyard and badge holder to get access to the show halls.

  • Make the most of your attendance at in-cosmetics Global by following up your leads captured using the Emperia App and QR Code Solution (Feature Area: Innovation Zone, Sensory Bar, Make Up Bar and Sustainability Corner Display). Login to your portal account to access and download your leads.

Event photos

We have a Flickr account where we upload our official event photos. You do not need permission from us in order to share them, or use in your own promotional material. However, you will need to state that these photos are from ‘in-cosmetics Global’ as a caption if you choose to use any.

Promotional banners

To help promote your participation at the event, we strongly recommend your promote yourself, as well as using the support we can provide to promote you. In your portal account, in the badging section (available from January), you can get personalised banners containing your stand number. You can use these on your website, or in your email signature.

Badging

Exhibitor badging will be available in your portal account from January. This is where you can register all your stand personnel and apply for Visa Letters.

It’s imperative to register all your stand personnel in advance of the exhibition, and to bring along your printed badges. You must collect your lanyard and badge sleeve in advance of the show opening for visitors. We advise before 08:15 on 28 March. Registration gets very busy with exhibitors arriving, so if you want to enter the show before 09:00 on opening morning, you will need to have your badge, lanyard and sleeve collected already.

Exhibitor badging will be open in the South entrance to the venue from 14:00 – 18:00 on Sunday 26 March. 08:00 – 18:00 Monday 27 March. On show open days (28 March – 30 March), exhibitor badging will only be available in the South Entrance.

Feature Zone participation

If you have booked to participate in the Innovation Zone, Sensory Bar, Make-Up Bar or Sustainability Corner, you will need to complete information for your explanatory boards and feature guides in advance of the exhibition. We will print these for you.

If you would like to participate in the R&D Tours at the event, it is free to apply. There are 3 tours per day. Our independent Consultant Rouah Al Wakeel who hosts the tours, will choose out of the entries which exhibitors will participate. If you are selected, you will receive an email with a time of your 5 minute presentation in one of the tours. The tour themes this year are:

Microbiome - Advancements in skincare and anti-ageing (sponsored by Symrise)

Biotech (sponsored by Mibelle)

R&D Tour entry form

In 2019, we introduced the Indie Trail. This initiative was introduced to help match Indie brands with suppliers who can cater for low MOQs and can support new and emerging brands. It costs just €150 to participate, and we will promote your company online and in print to our ever-growing audience of Indie brands. To find out more about participation and to book, please contact your local representative. Deadline to book is 9 February 2023.

Educational session participation

If you have booked to participate in the educational programme at the event, we will require you session information as early as possible. We have attendees visiting the website now, registration will open in 2022 and the Event Preview goes to print early January 2023. We want to promote your session, so the earlier you can send this to us, the more promotion we can do for you.

For each speaking opportunity, you will need to provide:

  • Contact details of the person in charge
  • Speaker name, job title, biography and photo in JPEG or PNG, head and shoulders in colour
  • Presentation title (max 80 characters) and abstract (max 100 words)
  • Speakers to bring their latest presentation on USB stick to the show

FORMULATION LAB PARTICIPANTS PLEASE NOTE: For the Formulation Lab, you will also need to provide a Formulation Sheet by 31 January so it can be approved by our Technical Advisor. You will also have the ability to vet the bookings that come through to you, so you don’t have competitors in your session. Once you have access to this, we recommend checking bookings weekly, then daily in the last 2 weeks before the event.

Promotional opportunities

We have a number of sponsorship opportunities to suit every budget. We work with Storm Communications, who have been our official PR agency for a number of years. It’s their role to provide editorial and digital content with the trade media and social platforms to help promote the event. As well as working directly with us, on content we provide, they can also work directly with you to gain you free editorial opportunities. Exhibitor Preparation Webinar – 14:00 GMT 23 November 2022 

Exhibitor manual

The exhibitor manual is your main source for everything logistical you need to prepare and book for the event. The manual contains venue information, stand information, build submissions and regulations, suppliers list, tasks and order deadlines, catering, contractor information, security and so much more. It's imperative you read the manual and familiarise yourself with the information. You will be able to access the manual from your portal account. Stand sharers

If you plan on inviting your partners or distributors to participate on your stand with you, you can register them as Stand Sharer via your portal account for a cost of €615 per sharer.

In order for them to gain exposure in the marketing campaign, and to be able to access their own portal account, they will need to be registered by 11 January to be included in the printed event preview.

Visa letters

If you require a Visa Letter of invitation to attend the event as an exhibitor, you can apply for an invitation letter at the point of registering stand personal in your portal account. This will open in January. If you need a letter before this is available, please contact our customer service team
