At The in-cosmetics Formulation Summit, we are all about connecting people, and so the health and safety of our delegates, speakers and staff is of the utmost priority. Our team are working closely with local authorities, partners and the venue to implement robust safety measures, which mean our event may look a little different this year. On this page, and in our communications to you, we will continue to update you with the specifics as we approach the show.

Stay Safe Guidelines
Information for anyone who will be present at the event. Learn about our increased hygiene measures, social distancing management and medical safeguarding. Event health and safety precautionary guidelines are subject to change as directed by the local authorities.
All attendees will need to demonstrate proof of COVID-19 status to enter our event. On arrival you will need to present a text, email or pass to verify your COVID status is one of the following:
- Proof of completion of a full course of vaccination two weeks prior to arrival
- Proof of a negative lateral Flow Test or PCR result taken within 48hrs of arrival
- Proof of natural immunity shown by a positive PCR test result for COVID-19, lasting for 180 days from the date of the positive test and following completion of the self-isolation period.
Attendees will also be asked to check-in each day via the venue NHS Test & Trace QR code. Please note neither physical lateral flow test strips nor physical vaccination cards will be accepted as a valid proof of status. For further details on COVID passes click here.
Inbound Travel Advice

To attend, you must first register for the conference. Admission will be strictly by registration in advance only and details may be used for contact tracing if necessary
Plan your visit before you arrive at the venue. Knowing what you are going to do and where to go will contribute to safe and productive attendance. Also plan how to get to and from the venue by checking any relevant travel advice or restrictions.
Stay home if you are unwell
All guests are encouraged to check you are feeling well before attending our event. Please ensure that you are in good health, with no fever or other symptoms related to COVID-19, before travelling to the venue.
There will be additional entry measures this year. Please have your confirmation email and proof of COVID-19 status ready to show to our event registration staff and allow plenty of time to go through the checks at the entrance.
You will receive your delegate badge once proof of covid status is shown. If you are attending both days of the conference, please bring your badge with you on the second day.
Inside our event we are making meeting and doing business as safe as possible for everyone.
We strongly recommend that you wear a face mask when you are in indoor spaces with individuals that you would not normally mix with.
Hand sanitisers will be readily available throughout the venue. Please continue to follow guidance and wash your hands frequently.
Please be mindful of individuals personal space, everyone will have their own unique levels of comfort as we return to events. Please give people space when you are walking past them and check before initiating personal contact (consider elbow bumps rather than handshakes or hugs).
Ventilation will be increased, improving fresh air circulation in line with the latest guidance.
We will maintain the highest standards of cleaning before, during and after the event, including frequent cleaning of all high touch points.
Food and beverage
Light refreshments will be served in the networking areas and lunch will be provided in the hotel restaurant. In line with government guidance, contact will be limited.
Current guidance suggest that verifying attendees COVID-19 Status is an effective way of reducing the risk of transmission among large groups. Studies of those who have received a full vaccination course demonstrate that the risk of carrying and transmitting the disease is vastly reduced. For those not vaccinated, a lateral flow test has been proven as a reliable way of indicating if people are currently carrying the virus. Therefore, this evidence suggests that this is the best way to keep everyone safe.
If you are a resident of England, you can show this via the NHS COVID Pass which lets you share your COVID-19 vaccination records or tests in a secure way.
Access the NHS COVID PASS through the free NHS App and download on your mobile or device. Click here to watch the video on how it works. Don't forget to have downloaded the app and created your NHS COVID pass in advance to save time when you arrive at the show. Upon request The COVID pass can be either shown within the App or you can download a PDF version and have it ready to show on your phone or print off at home and bring it with you along with photo ID. Don't forget that the passes do expire, so make sure you check this before you travel to the show.
You can view your COVID-19 status online then download and print this to bring onsite. Alternatively call 119 to request a letter to show your proof of vaccination status. This can take up to 5 working days to reach you. Lines are open every day, 7am to 11pm. More details can be found here. 119 provides support in 200 languages. If you are a resident in England and are taking a lateral flow test please register the result here. You will need the QR code or the ID number from the test strip to report your result. You can show your proof of a negative test via the NHS COVID-19 Pass, email or text message
If you live in Northern Ireland you will need to supply paper proof of vaccination from your GP, or alternatively show a negative lateral flow test result.
International attendees can show their equivalent of the NHS Covid Pass from their country of origin. Proof of vaccination status and test results can also be demonstrated via the EU Digital COVID Certificate will be accepted at the COVID-19 Status checks.
Fully vaccinated means 2 weeks after completing a full course of vaccination. So in this instance you will need to show proof of a negative NHS lateral flow test taken within 48hrs prior to attending the event. This can be displayed via NHS App, SMS text, or via email.
There are a small number of exemptions for individuals who have a medical reason which means they cannot vaccinate or test.
If this applies to you then you will need to self-declare your medical exception directly with the venue staff upon arrival.
If you received a trial vaccine as part of a formally-approved COVID-19 vaccine trial in the UK you will be able to prove your status through the NHS COVID Pass or with a letter confirming your participation in the trial.
No, physical vaccination cards will not be accepted as proof of COVID-19 status . An EU Digital COVID Certificate, Northern Ireland, Scotland or Wales COVID Certificate or country equivalents (digital or paper) will be accepted.
yes, checks will be carried out every day. If you are attending show on proof of a negative PCR or lateral flow test and it exceeds the 48-hour limit then you will need to provide additional test results. We recommend that you bring additional lateral flow tests with you.
